    Aitana Commerce - Configuration

    Setup parameters

    After completing the installation of Commerce in our ERP it is necessary to perform a series of actions for its correct execution.

    New selling price experience

    We must access the features administration and enable the New Selling Price Experience in Business Central, otherwise Commerce will not work correctly.

    Once the product is installed, Commerce must be configured in Business Central.

    Web Users Setup

    To give users without a logged-in session access to certain functionalities such as viewing the catalog, it is necessary to configure the public store and assign a generic customer to be able to make purchases and view the product catalog. Otherwise, the web user will not be able to access basic Commerce functionalities such as viewing the catalog and making purchases.

    Public Store: If this checkbox is selected, the “anonymous” users who are visiting the web will be able to create a new user and place orders. If the checkbox is not selected the users with access to the portal will need to be created manually from the ERP.

    Default Customer No: If the portal access is allowed to non-validated users, or if the public store functionality has been activated, this will be the customer from which will obtain the setup by default of prices and discounts. In addition, all commercials will have access to this customer, which will be selected by default when they are validated on the portal. It is recommended to create a user with the “public” prices of the products, which can be used when the salespeople want to show products and rates to a potential customer.

    To add news it is necessary to access Business Central and edit the Commerce News page.

    The language code assigned to the news item, an id and a title must be configured. It is also necessary to apply a period in which the news item will be displayed. Text lines can be added in the detail of each news item.

    The first value can apply line discounts, i.e. it allows to add an additional discount in the shopping cart. This discount does not replace those applied in the New Selling Price Experience but adds an additional calculation on top of the previous result.

    The second one allows you to see the VAT price and the total price of the order with VAT in the document created.

    To be able to generate or view offer type documents it is necessary to have a Vendor or Administrator role.

    By default, all users are eligible for discounts in Commerce, since the property that marks this possibility to the customer is to allow line discounting in the customer file in Business Central:

    To configure rates it is necessary to use the new BC price calculation functionality by accessing the Sales Price List.

    Prices and discounts

    You can configure rates for products, line discounts, minimum quantities to establish discounts, create categories for discounts, assign discounts to certain customers and many other possibilities.

    Creating new users

    In order to use Commerce, it is necessary to create users. To do this, go to "Business Central > Commerce Users".

    New user

    To start using the application, it is only necessary to fill in the "User ID" and "Password" fields. It is not necessary for the id to be an email address, although it is a good practice to do so, to avoid users forgetting it.

    The users type are:

    • “Administrator”: This user has access to all customer information including sales documents.

    • “Salesperson”: A commercial user will be able to manage all customers. In this case, the "No." field links this Aitana Commerce user to the Business Central Seller.

    • “Cliente”: A customer user can access the information linked to a Business Central customer to which he/she is linked (orders, invoices and shipments). In this case in the "No." field select the Business Central customer linked to this Commerce user.

    • Web user”: Corresponds to users linked to customers who have registered through Aitana Commerce (with the public store option active). In this case in the "No." field corresponds to the linked Web Client.

    No: As we have indicated, it indicates the customer code, commercial, or web customer (one or the other depending on the previous dropdown of type). The identifier assigned here is considered to be the customer or “main” representative of the user, but more codes can be assigned by pressing on the Process > Associated profiles button associated in the toolbar.

    Apply line discount: only takes effect when type user is “Administrator” or "Salesperson". If it is market, it allows that the user enter manually line discounts in the cart screen of Aitana Commerce, during the execution of an order.

    Locked: if selected, temporaly desactivates the web access of a user.

    Last login: is automatically filled in with the date/time of the last time the user logged in to the system.

    Show prices with VAT: if this option is checked, the price including VAT will be shown on all documents.

    Product categories

    To be able to navigate in the catalog through categories and subcategories, it will be necessary to register the categories and subcategories and assign them to the products. To do this, access the ERP and, from the Item Categories section.

    Business Central allows nesting multiple levels of categories, which facilitates the navigation through the product catalog in Commerce Commerce.

    The catalog will display those categories and subcategories published for Aitana Commerce.

    Product release

    It is necessary to classify the products on the basis of the defined category structure, from the product sheet by selecting "Product category code:".

    Item Category

    The publishing of a product in Aitana is managed by checking/un-checking the "Aitana" box in the Aitana tab, from the product sheet.

    Note: those products and variants that are blocked for sale will not be displayed on the web, regardless of the field value "Aitana".
